Privacy policy for recruitment using Teamtailor
This privacy policy (this "Policy") explains how personal information is collected, used, and disclosed by the nursery
This Policy applies to job applicants. A separate policy covers children and parents and families who use our services, and another policy applies to employees.
As set out below, we may pass on your details to third parties (such as payroll and our book keeping). In these cases where we have passed on your details, these parties will also comply with the GDPR and only use your data for the purpose for which it was provided. We will pass on any “right to be forgotten” requests to such third parties on your request.
Information we collect
We collect information from you about yourself, your education and qualifications and your work history. We also collect bank account information from you so we can pay you for any trial days you are invited to.
We also generate information about you and your application including, with your consent recording of interviews.
We record some calls for training purposes
How we use your information
We may use your information to consider you for any current jobs, as well as any future jobs that may become available.
We will contact you regarding our job application, and also to inform you or any relevant training and newsletters from the nursery.
How we share your information
Our electronic data, documents and emails are processed and backed up online using Third Parties such as DropBox and Microsoft Office 365.
We use HSBC to make payments to you, and enter your bank account information there.
Data Retention Policies
We are regulated by Ofsted and are required to hold information about recruitment.
For HMRC compliance we hold trial-day payment information for 7 years.
For job applications, we keep CVs, job application forms, interview recordings and emails for 7 years.
International Transfers Our third-party services may transfer your data outside the EEA. E.g. Microsoft Office 365 handles our email services and has servers located in the USA.
Right to be forgotten
Job applicants who have not been offered a job, have the right to be forgotten
We are required by law to keep information about the staff who use our services.
Employees and former employees will not have the right to be forgotten until your child is 25 years old.
Choices
For staff applying for a job we use your information to communicate job and training availability, general information & updates and open days. You have the right to opt-out of this.
Ofsted require us to keep in communication with current staff as such, staff who currently work at the nursery may not opt-out of communication.
For staff who have left our employment, you may choose not to receive general information updates from us.
Ways to access, control and correct your data
We respect your right to access and correct, as required by applicable law, your data subject to other laws such as The Child Act and the EYFS Statutory Framework. We also take steps to ensure that the personal information we collect is accurate and up to date.
You have the right to know what personal information we maintain about you.
If your personal information is incorrect or incomplete, you have the right to ask us to update it.
When Users use the Service, information about the usage may be stored as cookies. Cookies are passive text files that are stored in the internet browser on the User’s device, such as computer, mobile phone or tablet, when using the Service. We use cookies to improve the User’s usage of the Service and to gather information about, for example, statistics about the usage of the Service. This is done to secure, maintain and improve the Service.
Users can at any time disable the use of cookies by changing the local settings in their devices. Disabling of cookies can affect the experience of the Service, for example disabling some functions in the Service.
Changes
We have the right to, at any time, make changes or additions to the Privacy Policy. The latest version of the Privacy Policy will always be available through the Service. A new version is considered communicated to the Users when the User has either received an email informing the User of the new version (using the e-mail stated by the User in connection to the use of the Service) or when the User is otherwise informed of the new Privacy Policy.
